An e-mail service is the major communication link between campus and student. It is one of the channels for the campus to broadcast any important message or notice to the students. Students need to check their mail box regularly to read the information from the campus promptly. 

Email account application for new Staff

  • The new staff email accounts are transacted by HR office.The person responsible in HR send the new staff's information to ITSC.
  • ITSC activates their email accounts accordingly. The default capacity of staff email account is 1.5 GB.
  • If the users want to add more capacity to their accounts, they should first apply by filling out "Increase E-mail storage Application Form", and then get approvals from both their unit/division head and ITSC.

Deleting email account (applies to the dismissed staff)

The dismissed staff have to handle procedures for deleting mail account when leaving, and get the stamp of approval from ITSC before demission; otherwise ITSC will not take the responsibility if any disputes occurred.

Email Service for Student

Each UIC student will be assigned an email account. The email address format is as follows:

  • This email address is being protected from spambots. You need JavaScript enabled to view it. (for 2011 student)
  • This email address is being protected from spambots. You need JavaScript enabled to view it. (for 2012 student)
  • This email address is being protected from spambots. You need JavaScript enabled to view it. (for 2013 student)
  • This email address is being protected from spambots. You need JavaScript enabled to view it. (for 2014 studnets)

Ways for login to the email system:

  1. Access the UIC web mail system via entering the URL address: http://webmail.uic.edu.hk/ or from the UIC home page (http://uic.edu.hk) click the "Students" on the top of the page and login via UIC Portal .
  2. User ID is ‘j4xxxxxxxx', where xxxxxxxx are the last 9 digits of a student ID number.
  3. Default password is the student National ID, HKID or Macau ID number.

Student can change the email account settings such as password, language, signature,etc. when successfully login the system.

Due to the email server storage space constraint, each student receives a default email quota of 2G. Please be reminded that any unwanted mail in the mail box and trash box needs to be cleaned up regularly to avoid overflow problem which means important message may be missed.

We would also like to advice the students not to open any message from unknown sources. It can be malicious and contain virus.

Email account application for department

  • Fill out "Unit Email Account Application Form".Get the approvals from leaders of both the department and ITSC.
  • The Email account is "UIC+ Unit short name", Such as ,ITSC's Email account would be This email address is being protected from spambots. You need JavaScript enabled to view it. .

Public Email Aliases

Several public email aliases have been created in ITSC to facilitate in group communication in campus. To avoid abuse of email aliases, only the authorized staff are granted the full access of the aliases.

Rules and Regulations

  1. ITSC and HR reserve the right for authorized the full access of the public email aliases.
  2. The full access of the public email aliases is only automatically granted to the following staff groups: 
    2.1. President/Executive Vice-President/Vice-President/Associate Vice-President 
    2.2. Deans/Associate Deans/Language Center Director/Director of General Education Office 
    2.3. Program Coordinators 
    2.4. Bursar/Registrar/Chief 
    2.5. Director/head of unit: such as Whole-Person Office, SAO, GAO, Estate Office, Four-Point Education Office, Student Career Development Office, Finance Office, Human Resources Office, Secretariat Office, etc. 
    2.6. Clubs or societies email account.
  3. Other staff who require the access right need to apply from ITSC and get an approval from HR office.
  4. Unit heads can nominate some staff to have full access to the email aliases with a formal request to ITSC and get an approval from HR office.
  5. Termination of the access right will be informed by HR.
  6. Authorized staff must not abuse the email aliases and no spam mails are allowed.
  7. Please do not use the aliases group to send any huge memory file. Otherwise it will consume unnecessary storage space in the mail server and network bandwidth. For sending those big file please use the web space service or contact ITSC for assistance.

Procedures for applying the email aliases access right

  1. Complete the "Public Mail Aliases Access Right Application (Termination) Form"
  2. The form can be downloaded from ITSC website.
  3. Get an approval from your unit head.
  4. Submit to ITSC for approval.

Anti-Spam

Spam email filter has been applied to UIC email system. It helps detect and protect users from junk email, fraudulent email threats (phishing) and virus.

Any spam and suspected spam messages addressed to you are held in the Spam Quarantine. Users are allowed to read, release, delete and create safelists.
